Bay Hewitt Policy on Public Learning Events

TERMS OF PAYMENT

  • Full payment is required within fifteen (15) days from the date of registration of which fifteen (15) days occur always before the start of the learning program. In cases where a Bay Hewitt public learning event is to happen less than fifteen (15) days after the registration, full payment is due immediately.
  • Bay Hewitt published rates may vary depending on the client’s date of registration or the number of attendees from the client’s company, in which cases, volume discounts may be applied at the sole discretion of Bay Hewitt.
  • Preferred payment method is check but other modes are also accepted like cash and credit card on special arrangement.
  • All check payments should be paid to the order of: “Bay Hewitt Learning and Consulting.” Check payments may be (1) picked up by a Bay Hewitt representative or (2) deposited to our bank account with the following details:

  • Cash payments must be deposited directly to our account above. Credit card payments may be coordinated with a Bay Hewitt representative.
  • Philippine VAT applies to all program prices, in most cases exclusive of the published price. When in doubt, please contact helpdesk@bayhewitt.com.
CLIENT RESPONSIBILITY

The client must provide or guarantee the following:

  • A contact person from their organization or company to coordinate  with Bay Hewitt on any matter relating to the program;
  • Confirmed attendance and participation of the participants who are free from any distractions and/or official functions for the entire duration of the program.
INTELLECTUAL PROPERTY

  • All materials provided for any program remain the intellectual property of Bay Hewitt Learning and Consulting and should not be copied or duplicated for any purpose other than sharing in good faith the same within the client’s organization members.
  • Video-recording our training sessions and taking photos of learning materials including presentations and hand-outs are prohibited. However, taking photos of participants only by other attendees (i.e. class picture or photo while session is on-going) is allowed except when the taking of such photos is distracting or uncomfortable to other participants. We will take every reasonable measure to make a sound judgment.
AWARDING OF A CERTIFICATE OF COMPLETION

Participation in all originally scheduled days of any Bay Hewitt learning program is mandatory in order to receive the certificate of completion. Participants who miss more than 12% of any program will not be eligible to receive a certificate. Participants who fulfill the attendance requirement on top of certification or assessment standards, if applicable, will receive a certificate at the end of the program.

TRANSFER AND PARTICIPANT SUBSTITUTION POLICY

Participants may transfer their registration to another learning program free of charge. The transfer request must be received in writing to helpdesk@bayhewitt.com ten (10) business days prior to the first day of the seminar for which you were originally scheduled. A 20% transfer charge of the paid published rate will be applied to all transfers received less than ten (10) days prior to the first day of the session.

Participant substitutions may be made at any time with written notification to Bay Hewitt.

CANCELLATION

  • Should cancellation be necessary, notification to Bay Hewitt via helpdesk@bayhewitt.com is required ten (10) business days prior to the first day of the learning session. You may receive a refund, minus 35% of the published rate as processing and administrative fee, up to and including the 10th business day before the seminar. Payment may be refunded upon presentation of proof of payment and refunded in modes determined at the sole discretion of Bay Hewitt with proper coordination with the client.
  • If you find that you cannot attend, and it is less than ten (10) business days before the start of the program, you may send a replacement, with written notice to Bay Hewitt, subject to the preceding Transfer and Participant Substitution Policy.
  • If you cancel your attendance less than ten (10) business days prior to the actual learning program and replacement or transfer is not possible, you remain charged for the total value of the program. This coincides with when we transmit our final headcount to the event venue and we pay for your seat for the program. Your registration fee will be forfeited and not refunded. 
  • Subject to the preceding Transfer and Participant Substitution Policy, if you cancel your registration and attendance less than ten (10) business days prior to the event but wish to use your payment for an event in the future, you will receive a credit of 80% of the original payment amount already charged equal to the total value of the program. You can use that credit towards purchasing attendance at a future Bay Hewitt learning event. If the published rate of a future event is less than your 80% credit, you may use any remaining credit for another event. If the published rate of a future event is more than your 80% credit, you need to pay the additional remainder of the price to register and attend. You must use this credit within three months from the original program date you had registered to attend.
  • If you registered and neither cancel nor attend the event, you remain charged (debited or invoiced) for the total value of the program.
  • Bay Hewitt reserves the right to cancel learning programs, workshops, seminars or conferences due to force majeure or Acts of God (i.e. severe weather conditions). In cases like this, the  program will be re-scheduled to another date and time. We will make every effort to notify all registrants.
  • Bay Hewitt reserves the right to cancel learning programs, workshops, seminars or conferences due to unforeseen circumstances or for lack of participation or required headcount. We will make every effort to notify all registrants and will provide a full refund for any program we cancel.

 PROGRAM CHANGES

  • Bay Hewitt reserves the right to substitute program facilitators, speakers, or presenters if necessary. 
  • Bay Hewitt reserves the right to change schedules or venues at least seven (7) business days prior to the start of a program. Bay Hewitt will not be liable for any additional expenses incurred by a registrant resulting from these changes. We will make every effort to notify all registrants.
INDEMNIFICATION

Client will defend, indemnify and hold harmless Bay Hewitt Learning and Consulting, its officers, employees, trustees, agents and representatives from and against any and all claims, demands, damages, liabilities, expenses, losses of every nature and kind, including but not limited to attorney’s fees and costs, sustained or alleged to have been sustained in connection with or arising out of this policy: Bay Hewitt Policy on Public Learning Events.
